What is Letter of Complaint?

This type of formal letter is written to address any misdemeanours, unfairness, dissatisfaction, or unethical behaviour of any staff, product, service, or any other resource. The complaint can also be against an official accepting bribes, potholes on roads, system flaws, and insufficient medical care at the hospital. The complaint letter can be sent to the right department to bring their attention to the concern.

Writing a complaint letter can be a medium for citizens to raise their voices against violations and injustice. CBSE has included the complaint type in Class 10 and 12 Letter Writing to help them learn the format and use it at the right time.

Letter of Complaint: Format

To secure complete marks in the writing section, students must follow the letter of complaint format on the exam paper. CBSE students can understand it better with the given examples. 

  • Sender’s Address: The letter starts by mentioning the address of the sender, the one who wants to file the complaint.
  • Date: Mention the date when you are writing the letter.
  • Receiver’s Address: This section includes the address to whom the letter is addressed.
  • Subject: Describe the reason, or mention in a line, what the complaint is about.
  • Salutation: Use “Sir/Madam” in a formal letter. 
  • Body: The main content of the letter is mainly written in three paragraphs, as explained below:
  • Introduction: As the title suggests, you have to write the product or service details, like its name, date, or location.
  • Complaint Detail: The next section includes issues regarding the product or service and explains them in detail.
  • Conclusion: List the solution you want. Include the necessary documents and invoices. 
  • Complimentary Closing: Conclude the letter with “Yours Faithfully” or “Yours Sincerely.”
  • Signature: Write your name in capitals.

Letter of Complaint: Guidelines to Follow While Writing

There are a few guidelines that CBSE Class 10 and 12 students or anyone else must follow while writing a letter of complaint. 

  • Keep the tone formal. Don’t use offensive language or words. 
  • Keep the objective clear and concise.
  • Mention the details, like the address and introduction of the person authoring the letter.
